REQ ID JR114898 Apply View Saved Jobs

Sony Pictures Television Marketing is seeking a highly organized and detail-oriented Coordinator, Operations & Post Services to support the day-to-day management, tracking, and delivery of marketing assets across the organization. Reporting to the Manager, Digital Asset Management & Production Technology within the Sony Pictures Television Creative Marketing group, this role will provide day-to-day support across Digital Asset Management and Marketing Operations.

The Coordinator will manage recurring asset intake, organization, tracking, delivery coordination, repository administration, Airtable records, documentation, and user support while contributing to selected operational initiatives led by the Executive Director, Marketing Operations. By owning defined recurring workflows, the Coordinator will help create capacity for the Manager to lead broader DAM strategy, governance, infrastructure, and responsible AI-enabled integrations. The role will partner with Creative Marketing and stakeholder groups across Sony Pictures Television Franchise & Marketing groups while operating within clearly defined DAM and Marketing Operations service boundaries.

Responsibilities

Asset Requests, Clip Pulls and Delivery

  • Fulfill clip pulls and coordinate the intake, sourcing, tracking, and delivery of approved asset requests for PR, Social, Brand, Franchise, Distribution, and other stakeholder groups.
  • Locate, organize, collect, and deliver approved episodic, promotional, photography, design, and audiovisual assets.
  • Track clip requests, source materials, versions, deadlines, approvals, and final delivery status.
  • Review requests for completeness, source availability, rights or approval information, delivery specifications, and appropriate routing before fulfillment.
  • Coordinate approved resizing, captioning, alternate-format, and other derivative-asset requests with the responsible creative, post-production, or external vendor teams; track delivery without performing color grading or technical quality control.
  • Escalate unclear rights, approvals, source-material, or technical questions to the appropriate owner.
  • Maintain clear records of what was requested, selected, approved, delivered, and where the final materials are stored.

Role Scope and Service Boundaries

This role owns the operational coordination and stewardship of approved assets. It is not a general post-production resource or a substitute for creative-production ownership.

  • In scope: request intake and triage; clip pulling; source-asset collection; repository organization; file and folder structures; naming conventions; metadata; permissions; asset linking; delivery coordination; status tracking; documentation; reporting; and enablement of searchable, shareable, self-service repositories.
  • Out of scope: color grading, technical quality control of finished content, editing, finishing, mastering, and other post-production execution. These activities remain with the accountable creative, production, post-production, or vendor teams.

Digital Asset Management

The Creative Marketing team manages multiple repositories supporting asset creation, collaboration, review, transfer, secure sharing, and archive. These include network volume storage, Microsoft SharePoint, Box, Ci, PIX, and other asset management systems. This role is responsible for the daily stewardship that keeps approved assets consistently structured, named, tagged, findable, shareable, and connected to the relevant project records. Previous experience with these systems is appreciated but not required.

  • Own routine intake, organization, tagging, migration, and maintenance of approved assets across designated repositories.
  • Apply and reinforce established metadata, naming conventions, folder structures, taxonomy standards, and storage criteria.
  • Perform routine metadata entry, asset validation, duplicate identification, and repository-integrity checks; escalate creative or technical content review to the accountable team.
  • Support repository clean-up, archival preparation, content inventories, migration projects, and the development of sustainable self-service asset libraries.
  • Help document and apply established criteria for where source files, working materials, final assets, and archived materials should be stored.

Airtable and Workflow Tracking

Airtable is the primary project-management platform supporting Creative Marketing workflows. This role helps connect project records and operational data with creative assets in their respective repositories while tracking fulfillment and other Operations tasks, reducing routine administrative work for the Manager.

  • Maintain accurate and current project, request, asset, and delivery records in Airtable.
  • Create and update records, linked assets, task assignments, due dates, status fields, and reporting information.
  • Monitor open requests and proactively follow up on missing information, approvals, and overdue deliverables.
  • Support the development and maintenance of dashboards, views, forms, templates, and recurring reports.
  • Perform routine data-quality checks to ensure records are complete, consistent, and usable.
  • Assist with user testing and documentation when new Airtable workflows or integrations are introduced.

Repository and User Support

Within Creative Marketing, the Operations team supports creatives, project managers, clients, and freelance talent through ongoing guidance and governance of tools and systems.

  • Assist with user onboarding, access requests, account provisioning, permissions tracking, and system invitations.
  • Provide basic guidance on approved repositories, folder structures, file-sharing practices, and asset-request processes.
  • Route technical issues to the appropriate internal technology team, system administrator, or vendor.
  • Maintain user lists and access documentation.
  • Help ensure assets are shared through the appropriate secure platform based on content sensitivity and business need.
  • Support periodic repository audits and access reviews.
  • Assist with the creation and maintenance of FAQs, quick-reference guides, and standard operating procedures.

Marketing Operations Support

This role sits within Marketing Operations and provides dedicated support for selected initiatives led by the Executive Director, Marketing Operations, while maintaining day-to-day accountability for assigned DAM workflows. Priorities and capacity will be managed through the role’s reporting line to balance both areas of support.

  • Support selected Marketing Operations projects sponsored by the Executive Director, including intake tracking, documentation, reporting, process mapping, meeting follow-ups, data clean-up, and rollout coordination.
  • Maintain project plans, action-item trackers, operating documents, and status updates for assigned Marketing Operations initiatives.
  • Coordinate meetings and capture clear decisions, owners, dependencies, and next steps when needed.
  • Assist with system testing, workflow pilots, and operational rollouts.
  • Support documentation of repeatable processes, service standards, and team best practices.
  • Prepare routine reports summarizing request volume, delivery status, turnaround times, asset availability, and workflow issues.
  • Provide administrative and project-coordination support for DAM, production technology, and priority Marketing Operations initiatives as assigned and capacity allows.

Qualifications

  • 0–2 years of experience in digital asset management, media operations, post-production, television production, creative operations, project coordination, or a related support role; relevant internships count toward experience.
  • Strong organizational skills with the ability to manage multiple requests, deadlines, and stakeholders.
  • Meticulous attention to detail, particularly when handling files, metadata, naming conventions, tracking information, and data entry.
  • Strong written and verbal communication skills.
  • Ability to follow defined processes while using sound judgment to identify missing information or potential issues.
  • Comfortable learning new systems, repositories, and technical workflows.
  • Proficiency in Microsoft 365, including Outlook, Excel, Word, Teams, and SharePoint.
  • Experience with Airtable, Box, Ci, PIX, digital asset management platforms, media libraries, or project-management systems is a plus.
  • Basic familiarity with common audiovisual, photography, design, and document file types is a plus.
  • Experience with Adobe Creative Cloud applications, including Premiere Pro, Photoshop, Media Encoder, and Illustrator.
  • Interest in television, entertainment marketing, content operations, or digital media.
  • Ability to handle confidential, sensitive, and pre-release content with discretion.
  • Proactive, dependable, collaborative, and comfortable working in a fast-paced environment.
  • Bachelor’s degree in Film, Television, Communications, Media, Library Science, Information Management, or a related field preferred, or equivalent professional experience.
