REQ ID JR113351 Apply View Saved JobsThe Sr. Administrative provides high-volume, detail-oriented administrative support to two executives across Digital Marketing and a broad portfolio that includes AI, Franchise Management, Research, Analytics, and Operations. This role helps keep fast-moving teams organized by coordinating calendars, meeting logistics, travel, expenses, purchase orders, document flow, and day-to-day administrative needs with accuracy, discretion, and strong attention to detail.
The ideal candidate is highly organized, professional, and comfortable supporting leaders whose work spans digital marketing campaigns, audience insights, franchise priorities, AI initiatives, analytics, and operational planning. This person will serve as a reliable administrative partner who can anticipate needs, manage competing priorities, and help teams stay connected across multiple workstreams.
In addition to core executive support, this role will assist with project work within the Digital Marketing Team, including campaign-related duties that support Digital Creative, Social Marketing, and Creator Marketing initiatives.
Responsibilities
- Manage calendars for two executives, including scheduling, prioritizing, and coordinating meetings across internal teams, senior leaders, external partners, and cross-functional stakeholders.
- Support meeting preparation for Digital Marketing, AI, Franchise Management, Research, Analytics, and Operations workstreams, including room or video setup, agendas, materials, attendee coordination, and follow-up tracking as needed.
- Coordinate executive travel, itineraries, transportation, and related logistics, ensuring details are accurate and updated as schedules shift.
- Process purchase orders, vendor-related administrative requests, business expenses, and personal expense reports in a timely and accurate manner.
- Manage document flow and shared files, including creating, organizing, updating, and maintaining electronic and hard-copy materials for executive and team use.
- Support project work within the Digital Marketing Team, including coordination, tracking, and administrative follow-up for Digital Creative, Social Marketing, and Creator Marketing campaign duties.
- Assist with campaign-related logistics such as maintaining trackers, gathering inputs, routing materials, coordinating deadlines, and helping teams stay aligned across digital creative, social, and creator marketing workstreams.
- Maintain and update department databases, contact lists, distribution lists, trackers, and other administrative resources that support team coordination.
- Provide general administrative support, including phone coverage, mail, copying, scanning, supplies, and other office coordination as needed.
- Assist with logistics for team meetings, presentations, offsites, and cross-functional working sessions involving Digital Marketing and the executive's broader functional teams.
- Handle confidential and time-sensitive information with discretion, professionalism, and sound judgment.
- Balance multiple requests and shifting priorities while ensuring assignments are completed accurately, on time, and with clear communication.
- Perform miscellaneous administrative duties and special projects as required.
Qualifications
- 1+ years of experience as an administrative assistant, coordinator, or comparable intern/trainee roles.
- Strong calendar-management skills and the ability to support multiple leaders or teams in a fast-paced environment.
- Strong computer skills, including Microsoft Outlook, Word, Excel, PowerPoint, and related collaboration tools.
- Good math, finance, and general business competency, including comfort with purchase orders, invoices, and expense reporting.
- Exceptional organizational, interpersonal, and communication skills, with a professional and courteous demeanor.
- High attention to detail and the ability to manage deadlines, follow through on assignments, and keep information accurate.
- Ability to multitask, prioritize, and remain flexible when needs and priorities shift.
- Common sense, dependability, discretion, and strong judgment when handling confidential information.
- Self-starter with a team-player attitude and a willingness to support both routine administrative needs and special projects.
Preferred Qualifications
- Interest in movies, entertainment, pop culture, digital marketing, audience research, analytics, AI, and franchise management
- Experience supporting marketing, entertainment, media, technology, research, analytics, or operations teams.
- Comfort working with presentation materials, team trackers, shared documents, campaign timelines, and cross-functional meeting logistics.
- Comfort with Adobe Design Suite and Generative AI tools such as ChatGPT.
The anticipated base salary for this position is $28.85/hour to $39.42/hour. This role may also qualify for incentives and/or comprehensive benefits. The actual base salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location of the position.
