In this role, you will work closely with our Talent Acquisition team, hiring managers and candidates across multiple regions and time zones to coordinate interviews, support recruitment activities and help deliver a positive candidate experience. You will also support new hire onboarding, the UK Internship Programme and various recruitment projects across the regions.
This is a great opportunity for someone who is organised, detail-oriented and enjoys working with people across different teams and locations. You will have the opportunity to gain exposure to different aspects of Talent Acquisition while contributing to a collaborative, global team.
Responsibilities:
- Coordinate telephone, video and on-site interviews across EMEA and APAC, managing scheduling, interview arrangements, confirmations and timely communication with candidates, hiring managers and recruiting partners.
- Deliver a high level of customer service, resolving scheduling conflicts and helping ensure a positive candidate and hiring manager experience.
- Support sourcing and talent pipelining activities, including candidate research, LinkedIn searches, referrals and identifying potential talent for current and future hiring needs. Assist with initial candidate screening for intern and entry-level positions under the guidance of the recruiting team.
- Support the UK Internship Programme, including interview and assessment centre coordination, candidate communications, placement activities, ongoing intern support and programme events. Assist with related activities involving schools, universities, charities and wider P&O teams.
- Coordinate new hire onboarding activities, including preparation and processing of UK employment agreements, reference and verification checks, Workday transactions and timely coordination of documentation with P&O and Payroll. Support the maintenance of onboarding documentation and processes.
- Assist with New Hire Orientations, helping to ensure new starters have a positive and well-organised onboarding experience.
- Maintain accurate and timely information in the applicant tracking system (ATS), including requisition tracking, headcount approvals and recruitment reporting.
- Compile, distribute and maintain weekly vacancy lists, ensuring information is accurate and up to date.
- Identify opportunities to improve recruitment coordination processes and provide administrative support on Talent Acquisition projects and initiatives as required.
Qualifications & Experience:
- Bachelor's degree or equivalent experience.
- Typically 2+ years of experience in recruitment coordination, HR administration or a related role, with experience supporting multiple stakeholders across multiple regions and time zones.
- Strong organisational, time-management and process-management skills, with the ability to prioritise competing demands, maintain accuracy and work independently.
- Excellent communication and interpersonal skills, with the ability to build strong relationships with candidates, hiring managers and P&O partners while delivering a high level of customer service.
- Strong attention to detail, sound judgement and the ability to handle sensitive and confidential information.
- Proactive, flexible and comfortable working in a fast-paced environment, with the ability to resolve issues and adapt to changing priorities.
- Proficiency in Microsoft Office applications, particularly Outlook and Excel.
- Familiarity with applicant tracking systems, LinkedIn and HR systems; experience with Workday is advantageous.
- Experience within Talent Acquisition, new hire onboarding, internship programmes or the entertainment/media industry is preferred.
- Additional language skills relevant to EMEA and/or APAC would be advantageous.
