General Summary:

The Manager, Operations and Administrative Production is a highly organized, process-driven professional responsible for planning, managing, leading, and controlling internal production and administrative processes in support of all productions based in Mexico. This role ensures full compliance with company policies, operational guidelines, and best practices, while coordinating processes and policies across Production and Corporate teams to enable efficient and consistent execution. The Manager oversees the proper management of vendor contracts, ensuring compliance with contractual terms, timely payments, and quality of service delivery. This position is responsible for the development, implementation, and monitoring of internal processes and operational reporting to support current and future productions, and reports directly to the Operations & Administrative Production Director based in Mexico

Responsibilities:

The job’s most important functions and responsibilities and percentage of time.

General Description of the Responsibility

  • 15% Manage and oversee the execution of production contracts, ensuring compliance with internal policies, procedures, and contractual obligations agreed with vendors.
  • 15% Preparation, review, and documentation of production-related contracts, ensuring alignment with legal, financial, and corporate governance requirements.
  • 15% Partner with Production teams to support the negotiation and contracting of locations, including % coordination of permits and regulatory approvals.
  • 15% Manage administrative and production-related procurement processes in coordination with Finance, ensuring budget adherence, cost controls, and process compliance.
  • 10% Assist the vendor selection process, onboarding, administration, and negotiations in line with production requirements and office operational needs.
  • 10% Oversee warehouse operations, including inventory management and the commercialization of warehouse services or assets to third parties, as applicable.
  • 10% Drive the implementation and adoption of tools and systems to improve efficiency, transparency, and accuracy in service tracking and invoicing processes.
  • 5% Support the Head of Operations in corporate and regulatory initiatives, including data protection and compliance-related processes.
  • 5% Manage administrative controls related to office security, including access control, visitor management, and related procedures.

Knowledge / Skills / Abilities:

  • Strong knowledge of production processes and the entertainment industry, with a particular focus on television production and project execution.
  • Solid understanding of industry vendors and service providers, with experience managing supplier relationships.
  • Working knowledge of administrative processes, operational controls, and the development and implementation of procedures.
  • Basic legal knowledge related to contract review, administration, and compliance.
  • Proven negotiation skills, with the ability to manage commercial discussions and resolve issues effectively.
  • Demonstrated people management and leadership skills, with the ability to lead teams, foster collaboration, and work effectively across all levels of the organization in a culturally diverse environment.
  • Strong conflict resolution and problem-solving abilities, with the capacity to address challenges in a practical and timely manner.
  • Ability to work effectively under pressure in fast-paced production environments while maintaining accuracy and control.
  • Excellent organizational and time-management skills, with the ability to prioritize, optimize resources, and meet deadlines.
  • Strong communication and presentation skills; full professional fluency in Spanish and English, both written and verbal.

Experience:

  • 3-5 years of experience in Television Production, with a preference for experience in Operation or Logistics areas.

Education:

  • A bachelor’s degree in Communications, Audiovisual Production, Business Administration or related.
